Two non-Board IABC members (or external auditor) provide an audited review of the Chapter’s financial ledgers ahead of the June AGM each year.

Set monthly meeting dates and agendas, compile board meeting packages and distribute. Record meeting minutes. Organize Google Drive.Item description

Manage end of season awards selection process. Provide content to Communications team for promotion of awards campaign and support promotion of winners as part of AGM. Facilitate process of application and selection of winners. Procure award gifts.

Produce and facilitate the Holiday Party in December and the AGM in June. Identify speakers/topics, coordinate venues, catering and other event logistics. Provide content to Communications team for promotion of events and post-event reporting.

Support IABC Ottawa’s DEI strategy by working with other portfolios to ensure we foster inclusive communication and drive meaningful engagement.

Coordinate the production of graphic design to support the events and channels of IABC Ottawa for its social media, website and newsletter platforms. Maintain the Canva account and branding materials for IABC Ottawa.

Promote to local businesses the opportunity to post jobs within the communication field to IABC Ottawa Chapter members and followers. Handle Jobline posting requests from start to finish, and manage payment processes.

Develop a plan along with VP of Membership to recruit members, aligned with CER and IABC timelines and campaigns.Develop regular member profiles for website, newsletter and social media. Create a membership survey to gauge opportunities and successes for the chapter for the following season.

Develop a plan along with the VP of Membership, that provides members and communications professionals in the area with an opportunity to enhance their network and networking skills. Plan, promote and host member networking events and activities.

Receive and process financial payments for approval and payment by the VP Finance. Enter all transactions information financial ledgers. Provide a monthly summary and report of financial status and transactions.

Develop a plan and schedule to produce The Voice. Record, edit and publish The Voice in coordination with podcast host and other volunteers. Liaise with community communications leaders for potential guest speakers. On a monthly basis, provide a report and analysis of podcasts to the VP Communications.

Support the development of and reporting on IABC Ottawa’s strategic plan. Support the annual reporting process to IABC.

Coordinate volunteer appreciation activities, including volunteer of the month and volunteer appreciation events. Support volunteer training and recruitment as needed.

Develop a plan along with the VP of Membership to recruit volunteers, working with other board members and directors to create meaningful roles for volunteers. Provide individual support to all volunteers to ensure they have the knowledge and resources needed for their roles. Organize training for new volunteers for the season.

Liaise with Directors and VPs to maintain, update and enhance the IABC Ottawa Chapter website while ensuring best practices for diversity, equity, inclusion and accessibility. On a monthly basis, provide the report and analysis of website to the VP Communications.

Liaise with Directors and VPs to gather stories and events to be included in the newsletter. Maintain the Mailchimp mailing list for members and subscribers. On a monthly basis, provide a report and analysis of Mailchimp to the VP Communications.

Liaise with Directors and VPs to gather stories and events to be included on IABC Ottawa social media accounts. On a monthly basis, provide the report and analysis of social media to the VP of Communications.
